General Data Protection Regulations
In order to provide our members with the services which we offer, we need to hold some information about them. This includes items such as:
- name, address, telephone number, email address, car reg.
- membership type, eg single, family, honorary, life or corporate.
- a record of participation in and payment for the society’s activities.
Under GDPR, effective 25th May 2018, we need members’ permission to hold and process such information. We also need their permission to continue to communicate with them. Communications will consist of notices and reports (including ARBOR) of the society’s activities, and reminders, if necessary, of subscriptions and other payments due. We may occasionally, if it seems appropriate, send information likely to be of interest to members of a society of “Men of the Trees”.
We undertake to keep members’ information securely and safely to the best of our ability. We will use personal information only for the purposes of the society and we will not share it with any third parties except as necessary for providing the services we offer. For example, in organizing an outing we may have to supply a list of participants to the venue providers, to the bus company, or the other participants. If in future we decide to subcontract the mailing of ARBOR, we would need to supply our contractor with members’ address details in a mailing list.
Under the regulations members are entitled to ask to see the information we are holding about them, free of charge, and to require us to amend or delete it where it is inaccurate.
We will assume we have members’ consent to continue to hold and process relevant personal data and to contact members as described above unless we are advised in writing that we do not.
